Terms and Conditions of Ootel.co

General

Our staff reserves the right to refuse accommodation to individuals.

The subletting or further rental of the assigned rooms by the guest, as well as their use for purposes other than accommodation, requires prior written approval from the hotel management.

Check-In and Check-Out

Reserved beds/rooms can be occupied no earlier than 2:00 PM on the day of arrival. Check-in for reservations is only possible until 6:00 PM. Please always notify us of delays by email or phone. Excluding New Year’s Eve. Guaranteed, even with check-in after 6:00 PM, are only fully prepaid bookings (credit card or bank transfer).

On the day of departure, the occupied beds/rooms must be vacated by 11:00 AM at the latest. Otherwise, prior arrangement with hotel staff is necessary. In case of exceeding the time limit, the hotel may charge 50% of the full room rate (current daily rates) for the additional use of the bed/room until 4:00 PM on the day of departure and 100% after 4:00 PM. This can also be booked in advance.

Price and Payment Conditions

Ootel.co is obligated to provide the beds/rooms booked by the guest/customer and to render the agreed-upon services. The guest/customer is obligated to pay the prices agreed upon by the hotel for the provision of beds/rooms and other services used by the guest. This also applies to services and expenses incurred by the hotel at the request of the customer and billed to third parties. Ootel.co Berlin is entitled to demand 50% of the total price as an advance payment for the booking. Otherwise, the amount of the advance payment must be contractually agreed upon in advance. The total amount of the booking must be paid in advance upon arrival. For reservations during trade fairs, holidays, and local events, a full prepayment is required.

Ootel.co Berlin asks the customer to confirm their booking by making an advance payment or providing credit card details. If the customer fails to fulfill this obligation, Ootel.co Berlin does not guarantee accommodation.

Prices may also be changed by Ootel.co if the customer agrees to subsequent changes in the number of booked beds/rooms, length of stay, and/or other hotel services. The agreed-upon prices include the respective statutory value-added tax, but not the overnight stay tax amounting to 5% of the total price, if applicable. The overnight stay tax is to be paid on-site during check-in. If the period between the conclusion of the contract and the fulfillment of the contract exceeds 4 months and the price generally charged by Ootel.co for such services increases, Ootel.co can raise the contractually agreed price, but not by more than 10%.

In case of default in payment, Ootel.co is entitled to charge interest at the usual market rate.

Ootel.co is also entitled, in accordance with legal provisions for package travel, to demand a reasonable advance payment or security deposit before or after the conclusion of the contract. The amount of the advance payment and the payment dates can be agreed upon in writing in the contract.

If the guest chooses the categoryNon-refundable Booking,” the full booking amount is due immediately upon booking and can be demanded by the hotel at any time. Even in the case of cancellations or no-shows, the full amount must be paid.

Reservation and Booking Conditions

A reservation inquiry is not a binding reservation or booking. The booking becomes binding as soon as confirmation is received, and a guarantee in the form of an advance payment or the provision of credit card details is made. Unless otherwise agreed upon, the customer does not have a claim to the provision of specific rooms or beds. The booked room type will be provided whenever possible. The final bed or room assignment is made based on availability by the hotel management.

When booking rooms such asHotel Room 4 Beds,” “Hotel Room 6 Beds,” “Hotel Room 8 Beds,” “Hotel Room 10 Beds,” you agree to share rooms with other hotel guests if available beds are present. All other rooms are not affected by this rule.

Group Reservations

Bookings for ten or more people are considered group reservations. Groups must appoint a group leader. For group bookings, a 50% advance payment of the total price is a contractual condition. The remaining amount must be paid 15 days before arrival. Groups from abroad must transfer 100% of the total amount up to 4 weeks before arrival.

Groups with children and teenagers must be accompanied by at least one or more adult supervisors according to the group size. The supervisors must be of legal age, have the necessary authorization to stay at Ootel.co, and be available all day for emergencies.

Cancellation, Contract Termination (Continuation)

Cancellations are only valid when confirmed by Ootel.co. Ootel.co must inform the customer of the possibility of withdrawal at the latest upon conclusion of the contract. The following cancellation periods apply:

a) Unless otherwise agreed, for individual reservations, free cancellation is possible up to seven days before arrival. For cancellations from the third day before arrival, 80% of the agreed total price will be charged, but a maximum of the first three nights. If an advance payment has been made, it will be offset. During trade fair periods, free cancellation is possible up to eight days before arrival. For cancellations from the seventh day before arrival, 80% of the agreed total price will be charged, but a maximum of the first three nights.

Early departure is free of charge if communicated to Ootel.co at least three days in advance. Otherwise, the total price for the remaining nights will be charged (a maximum of three nights).

b) Unless otherwise agreed, for group reservations, free cancellation is possible up to 6 weeks before arrival. For cancellations up to 4 weeks before arrival, 50% of the agreed total price will be charged. For cancellations up to 8 days before arrival, 75% of the agreed total price will be charged. For cancellations from the 7th day before arrival or in case of no-show, 100% of the agreed total price will be charged.

Ootel.co Berlin can cancel reservations for the following reasons:

a) if the advance payment is not made on time,
b) if the customer does not accept the hotel’s terms and conditions,
c) if the customer provides false information about themselves or in the case of a no-show.

In the event of a justified cancellation by the hotel, the customer has no claim for damages.

Furthermore, Ootel.co is entitled to withdraw from the contract for objectively justified reasons, for example, if force majeure or other circumstances beyond the control of the hotel/hostel make the fulfillment of the contract impossible.

Liability Claims

Ootel.co is liable for the care of an ordinary merchant. This liability is limited in the non-typical performance area but is limited to defects, damages, consequential damages, or disruptions caused by intent or gross negligence of the hotel. If disruptions or defects occur in the hotel’s services, Ootel.co will endeavor, upon knowledge or complaint by the customer, to provide remedy.

To assert claims for damages, a report must be filed immediately after the occurrence of damage with the local police and Ootel.co. The hotel’s liability is governed by statutory provisions. Valuables, jewelry, and cash are not the responsibility of Ootel.co. The customer is responsible for these items. We recommend taking outcorresponding travel insurance for such cases. The customer is liable for damages caused willfully or negligently to rooms, furnishings, buildings, and inventory.

Other

Pets are not allowed in Ootel.co.

The maximum length of stay is limited to 14 days per guest per calendar year. Tolerated exceedances do not constitute a legal claim. Wake-up calls, information, letters, and parcels for customers are provided without obligation.

Changes or additions to the contract, acceptance of the application, or these terms and conditions for hotel/hostel accommodation must be made in writing and agreed upon with the hotel management. Unilateral changes or additions by the customer are ineffective.

The place of performance and payment is the registered office of the hotel.

Forgotten items or lost property will be forwarded upon the customer’s request and at the customer’s expense. Ootel.co agrees to keep lost property for six months.

German law applies. If individual provisions of these terms and conditions for hotel accommodation are or become invalid or void, this does not affect the validity of the remaining provisions. Otherwise, statutory provisions apply. In the event that the contract proves to be incomplete, the above provisions apply.

The Ootel.co FriendsCard is only applied with a 10% discount for direct bookings at Ootel.co. Customers booking through third parties are not entitled to the discount. Cumulative discounts are not granted.
